Q: What are the application statuses?

A:

In Progress:
Application has been created, but has not yet been submitted to OTCAS.
Submitted (Awaiting Materials):
Application has been e-submitted to OTCAS, but OTCAS has not yet received all required U.S. transcripts and/or payment
Complete (Materials Received):
Application has been e-submitted to OTCAS and all required payments and U.S. transcripts have been received. (Programs may require additional materials)
Verified:
Application has been processed and released to designated programs, and a GPA has been calculated
Undelivered:
Application has been sent back to applicant to fix any errors before processing can begin or continue
On Hold:
Application has serious problems or mistakes that need to be discussed with the applicant before any further action can be taken

Q: Will OTCAS update me on the status of my application?

A: OTCAS will NOT contact you about missing/incomplete transcripts or other missing items! It is your responsibility to check on the status of all required documents by logging into your OTCAS application!

OTCAS will notify you via e-mail once you have created your application account, you have submitted your application, and OTCAS has processed your application. OTCAS will also email you about problematic application materials, such as issued-to-student transcripts, incorrect coursework entries, or incorrectly or unlisted institutions. If you wish to see if your application is complete and whether OTCAS has forwarded your application to your selected programs, you must login to your OTCAS application and check the STATUS section. Make sure the e-mail address listed on the OTCAS application is your current e-mail account. You must frequently check your e-mail account and the Message section of your online application for important information throughout the application process.

Allow up to 4 weeks after your application’s status becomes Complete for it to be Verified. In many cases the processing time will be substantially shorter, but you should make every effort to have all pertinent documents sent to OTCAS as early as possible and by the program’s deadline date. OTCAS will accept late materials, but your selected program(s) may not.

Q: How can I determine if my transcripts have been received?

A: Once you e-submit your application, follow the steps below to view the status of your transcripts:

  1. Login to your OTCAS web application;
  2. Select the “Check Status” tab on the left of your dashboard, then, click on ‘Program Status.’ Hover over “Awaiting Materials” button to view transcript info, including which transcripts have and have not been received. You will also receive a notification in your “My Messages” inbox when each transcript posts to your application, so that you may track transcripts even if you have not yet submitted.
  3. Transcripts can be received at OTCAS regardless of the status of your application. You do not need to wait for all transcripts to be received before e-submitting your application.

Q: How can I determine if my references have been received?

A: Once you e-submit your application, follow the steps below to view the status of your references:

  1. Login to your OTCAS web application;
  2. Navigate to your “Evaluations” page. These statuses are updated immediately once the reference has been submitted by the evaluator:.
  3. When a Reference has been received, the status will say “Completed.” If a Reference is filling out an electronic letter of recommendation, the status will say “Accepted” as soon as the Reference begins filling out the online form. An electronic letter of recommendation is not considered submitted until the status is listed as “Completed.”

Q: How can I determine if my GPA’s have been calculated?

A: If you have U.S. coursework listed in your online application, you will be able to view your OTCAS GPA’s as soon as your application has been verified. OTCAS will email you as soon as your coursework has been verified. To view your OTCAS GPA’s,

  1. Login to your OTCAS web application,
  2. Select the “Manage my Programs” button on the left of your dashboard, then, click on ‘Program Status.’
  3. Click on the blue icon in the upper right of each program you have applied to to bring up your application PDF. The GPA can be viewed on this PDF:

To determine what classes are included in the OTCAS GPA’s,

  1. Go to the “Transcript Entry” section in your web application,
  2. Your OTCAS GPA’s will be available within 4 weeks from the date your application becomes complete.

Q: How can I track the status of my application to the programs that I have designated?

A: To view the status of your application to the designated programs:

  1. Login to your OTCAS web application;
  2. Select the “Manage my Programs” button on the left of your dashboard, then, click on ‘Program Status.’

You can view your designated program (s) status only after you have Submitted your application to OTCAS.

Q: My application has been released to my designated program(s). Why have I not received a response from them?

A: It may take several weeks for an OT program to contact you about your application. You are encouraged to visit the program pages on the OTCAS site to determine when you can expect to receive a response from the admissions office. In the meantime, be sure to send supplemental applications, official test scores, and other materials directly to the program(s) as required.
