OTCAS Professional Transcript Entry Service

If you do not wish to enter all of your coursework yourself, OTCAS offers all applicants the option to have coursework professionally entered on their behalf by our specialists for an additional fee, OTCAS coursework entry staff is available to enter all COMPLETED coursework taken at an accredited school on our school list. Given the nature of Not-Listed Schools, foreign coursework and planned/in-progress courses, this work is not eligible for professional transcript entry and must be entered by the applicant. If you start an application and pay for it in a cycle, but do not submit your application in that same cycle, your payment DOES NOT carry forward to the next OTCAS cycle. PROFESSIONAL TRANSCRIPT ENTRY FEES

The cost for OTCAS’ professional transcript entry service is $65 for 1-3 transcripts, $90 for 4-6 transcripts, and $140 for 7 transcripts or more. Please note that these fees are for coursework entry only and are in addition to OTCAS’ regular application fees. As this is an optional service, no fee waivers are available for professional transcript entry.

TURNAROUND TIMES FOR APPLICANTS WHO PARTICIPATE IN THE ENTRY SERVICE

UNDERSTAND: The entry service does NOT begin until you have submitted your application, paid all application fees, and all required transcripts have posted to your account, at which point it may take up to ten (10) business days to complete the service. Your application is NOT given a Complete Date and entered into the verification queue until your coursework entry is approved, at which point it may take up to an additional four weeks to be verified. Applicants must take these procedures and turnaround times into consideration when attempting meet the deadline requirements of the OT programs. OTCAS is NOT responsible for missed deadlines due to professional coursework entry procedures or turnaround times.

Please note that professional transcript entry is a data entry service , NOT a verification service. Our staff will enter the information on your transcripts, but will NOT notify you about errors made to the coursework you entered yourself, nor will they notify you about unreported institutions. You will not be notified of these errors until your application enters the verification process, at which point it will be YOUR responsibility to correct them. Professional Transcript Entry staff will NOT correct errors found during the verification process.

THE PROFESSIONAL TRANSCRIPT ENTRY PROCESS

To sign up for OTCAS’ professional transcript entry service, please follow the steps below:

Start Your OTCAS Application

Create your OTCAS application so you will be given a OTCAS ID#.

Report ALL Colleges Attended

REPORT ALL INSTITUTIONS ATTENDED. You are required to report all institutions attended, including but not limited to: courses taken in high school, summer courses, community college courses, military institutions, post-baccalaureate, graduate, and doctoral work, study abroad, foreign work, etc.  Failure to report an institution runs the risk of your application being undelivered back to you by our verification staff.

Complete Any Coursework Ineligible For Professional Entry

OTCAS can NOT enter not-listed U.S. schools, planned/in-progress, or foreign coursework. These MUST be entered BEFORE you sign up for the professional entry service. If you do NOT enter your planned/in-progress work prior to paying for the professional entry service, you WILL be locked out from entering this work yourself after making your payment. If you neglect to enter your planned/in-progress work prior to paying for PTE, you will have to wait until after verification and add this in as part of Academic Update.

Select The Professional Transcript Entry Option

Click “Tell Me More” on the coursework page to be taken to the professional entry page, and select YES at the bottom of the screen. You will then be asked to select which schools you would like to pay for coursework entry for.

Make Your Payment

Review and agree to the Transcript Entry Service Agreement and make your coursework entry fee payment. After making your payment, you may ADD additional schools to the service until you submit your application. Once your application has been submitted, you may NOT add any additional schools to the Professional Transcript Entry service. Payments must be made online via credit card ONLY. Payments may not be sent via mail.

IMPORTANT: As per the Transcript Entry Service Agreement you submit with your payment, the professional transcript entry fee is NONREFUNDABLE. These funds can NOT be refunded at any time for any reason once payment has been made.

Request Transcripts be Sent to OTCAS

OTCAS must receive all required transcripts before coursework entry can begin.  Monitor your application to ensure you transcripts are received. On average, it takes 7-10 business days for your transcript to post to your application from the date it is mailed by your school. Once your transcripts post, you will receive a confirmation email and, if you have already submitted, you can view your transcript receipt dates on your application.

Submit and COMPLETE Your Application

Before professional transcript entry can begin, you must have a submitted, paid application with all transcripts posted to your account. Please note that the pre-req sections of programs materials will be DEACTIVATED until your coursework has been entered for you, so you may submit without entering pre-req information.

Professional Transcript Entry Begins

Once the criteria above have been met, your application will be placed in line for professional transcript entry. The service will begin work on your application within 10 business days. Applications have their coursework entered on a first come, first served basis by completion.

Review Your Coursework, Enter Pre-Reqs, and Submit Your Approval

Once your transcript entry is complete, you will receive a notification. It is your responsibility to review the coursework entered by our staff for accuracy and approve the entry. If you find any issues with your coursework entry, please submit this issues in writing to our email address: otcasinfo@otcas.org. Wait for corrections to be approved and made before approving your coursework entry. You should also report any required prerequisite courses in the Program Materials section before approving your coursework entry. Once you have approved your coursework entry, your application will be given a Complete Date and placed in line for normal verification.

OTCAS PROFESSIONAL TRANSCRIPT ENTRY SERVICE REFUND POLICY

As stated in the Professional Transcript Entry Service Agreement that you signed when submitting your service request, once payment has been made, NO REFUNDS will be given. It is the applicant’s responsibility to submit their school listing and other required service entry information correctly and to review all entered coursework and approve its accuracy prior to verification. OTCAS is not responsible for delays caused by errors to the coursework section. It is also the applicant’s responsibility to consider all turnaround times and make their best judgement regarding their deadline requirements when electing to utilize the professional transcript entry service. OTCAS is not responsible for missed deadlines as the result of professional transcript entry turnaround times.

 CREDIT CARD PAYMENT DISPUTES

Applicants who issue credit card charge backs not authorized by OTCAS will receive a Bad Payment notification and the application will be removed from consideration from all programs. Applicants will be given 10 business days to send in a money order payment for their full application fee + a $25 bank processing charge to reinstate their application. If OTCAS does not receive payment within the allotted time frame, the application will remain blocked and all programs to which you applied will be notified of non-payment. Should the application cycle end with an  application in a bad payment status, the applicant will be barred from creating future OTCAS  accounts until all fees owed to OTCAS from previous cycles are paid in full.

ANY APPLICANT USING THE CREDIT CARD OF A PARENT OR GUARDIAN TO PAY APPLICATION FEES IS STRONGLY ADVISED TO COMMUNICATE WITH  THE CARD’S OWNER AND ENSURE THEY ARE FULLY AWARE OF ALL CHARGES. ONCE A CARDHOLDER DISPUTES A CHARGE, YOUR APPLICATION WILL ENCOUNTER DELAYS, HOLDS, AND ADDITIONAL FEES EVEN IF THE CARDHOLDER REVERSES THE REQUEST.
